How we handle your data

Plentier Systems Limited collects only what we need to answer enquiries, run Plentier ERP and improve this website. This page explains what we collect, why, where it is kept and how long, under Kenya’s Data Protection Act, 2019.

What we collect and why

  • Contact form. Your name, email, phone number, the service you’re interested in and your message, so we can reply. It is emailed to our team and kept in our inbox.
  • Plentier ERP account. Your name, email, phone number and your business details (name, country, currency, address and KRA PIN if you give it), to create and bill your ERP and to contact you about your subscription.
  • Payments. Card and M-Pesa payments are handled by Paystack. We never see or store card numbers or M-Pesa PINs; we keep the amount, date, plan and Paystack reference for your receipts.
  • Your ERP data. What you enter into your ERP belongs to you. We access it only to provide support you ask for, or to keep the service running and secure.
  • Website analytics. If you accept analytics cookies, Google Analytics records which pages are visited and which buttons and forms are used, so we can see what helps visitors. It does not receive your name, email or phone number, and we do not use advertising cookies.

Cookies

Essential cookies keep you signed in and protect forms from forgery; the site can’t work without them. Analytics cookies (Google Analytics, names starting with _ga) are set only after you click Accept, and you can change your choice at any time with “Cookie settings” at the bottom of every page.

Where your data is stored

The website, the Plentier ERP control panel and every customer ERP run on our servers in Amazon Web Services’ Cape Town region. Each business has its own ERP database. Payments are processed by Paystack; analytics data, if you accept it, is processed by Google.

How long we keep it

Account and billing records are kept while you are a customer and as long as tax law requires afterwards. Backups are kept for 14 days. If an ERP subscription lapses, the ERP is paused, not deleted; its data can be removed 30 days after it was paused, or sooner on request.

Your rights

You can ask to see the personal data we hold about you, correct it, have it deleted, or object to how we use it. Email info@plentiersystems.com and we will respond within the time the law allows. If you are not satisfied, you can complain to the Office of the Data Protection Commissioner.
